Privacy Policy

This Privacy Policy explains how Cartex Data, LLC (“Cartex,” “we,” “us”), the company behind Noots.ai (the “Service”), collects, uses, and shares information about you. By using the Service you agree to the practices described here.
1. Information we collect
We collect the account information you provide (name, email, organization), content you create or connect (meetings, transcripts, summaries, tasks, calendar events), and usage and device data generated when you use the Service. When you connect a meeting platform or calendar, we process the meeting audio, transcripts, and metadata necessary to deliver the Service.
2. How we use information
We use information to operate, maintain, and improve the Service; to generate summaries, action items, and project updates; to provide support; to secure the Service; and to communicate with you about your account, including trial and billing notices. We do not sell your personal information.
3. AI processing
Meeting content may be processed by third-party AI providers (such as transcription and large-language-model vendors) solely to produce your summaries and answer your questions. We do not permit those providers to use your private meeting content to train their general models.
4. Sharing
We share information with service providers (hosting, payments via Stripe, transcription, email delivery) under contract, with members of your organization as required to deliver collaborative features, and when required by law. We may share aggregated, de-identified data that cannot reasonably identify you.
5. Data retention & your bin
Items you delete are held in your organization’s bin and permanently removed approximately seven days later. You may request deletion of your account and associated personal data at any time from Settings; deleting your account also deletes organizations you created.
6. Your choices & rights
You can access, correct, export, or delete your information through your account or by contacting us. Depending on your location, you may have additional rights under applicable law, including the Texas Data Privacy and Security Act.
7. Security
We use industry-standard safeguards including encryption in transit and at rest, scoped access controls, and signed sessions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children
The Service is not directed to individuals under 18, and we do not knowingly collect personal information from children.
9. Changes & contact
We may update this Policy and will post the new effective date here. This Policy is governed by the laws of the State of Texas. Contact legal@cartexdata.com with any questions.
